Project HOPE is non-profit organization with an international team of over 500 engaged employees in 30 countries. One Community
The One Community activity is funded by PEPFAR, through USAID Malawi. It is an activity implemented in Malawi by a consortium led by Johns Hopkins Center for Communication Programs (CCP) and its partners Project HOPE and PLAN International. The purpose of the One Community activity is to mitigate the impact of HIV and AIDS and decrease new HIV infections It is providing care and support, impact mitigation and prevention services in a single integrated response at the community level.
Applications are invited from suitably qualified individuals for the post of Finance Officer tenable at Central office in Blantyre.
JOB SUMMARY
The Finance Officer will assist the Finance/ Administration in daily smooth running of finance and Administration office, ensuring that Project HOPE staff receive efficient accounting and administrative support.
SPECIFIC RESPONSIBILITIES
Prepares payment vouchers, check and supporting documents for approval
Processes and records cheques and disbursements on a daily basis, including verifying the accuracy of invoices and supporting documents.
Data inputs into accounting software — Quick books pro.
Assists in preparing monthly salaries.
Performs monthly bank reconciliations.
Assists in preparing financial reports and documents for home office and donors.
Assists in remitting tax deducted from staff salaries (PAYE) and preparing tax returns as per USAID and Project HOPE requirements.
Assists office staff in the preparation of budgets and financial plans,Maintains proper filing system of financial documents.
Provides technical assistance, including site visits, to District offices to ensure proper financial management and timely submission of required financial returns.
Ensures District team comply with financial management systems.
Supervises distribution and reconciliation of financial advances to support programs activities.
Assists the Finance and Administrative Manager in the preparation and maintaining financial tracking systems for programs and activities, based on work plans and budgets.
Gathers information on costs when required for budgeting purposes.
Maintains office petty cash
Procures equipment and supplies for program activities
Maintains assets inventory.
QUALIFICATIONS AND EXPERIENCE
At least 5 years of experience as a Finance Officer with similar projects.
Degree in Accounting is required.
Experience with donor accountability and financial skills, preferably International NGO.
Experience and knowledge of financial management and reporting processes and procedures
High proficiency in use of computers, particularly Microsoft Excel, Microsoft Word, etc.
Ability to use Quick Books Accounting software program.
Strong analytical and result–oriented skills.
High standards of integrity.
Ability to work as part of team
Local language capacities desirable.
Fluent in English, both written and spoken; excellent written and oral communication skills.
Malawian nationality highly preferred.
