UNIVERSITY REGISTRAR

 An opportunity has arisen to engage qualified and highly motivated persons to fill the position of a University Registrar tenable at Malawi Adventist University in Ntcheu. The successful candidate reports to the Deputy Vice – Chancellor (Pro Vice-Chancellor)

QUALIFICATIONS

Applicants should possess at least a Master’s Degree in any one of the following fields: Education; Business Administration.

KEY DUTIES AND RESPONSIBILITIES OF THE POSITION.

Performs functions relating to academic matters such as admission and registration of students; keeping and updating student records; preparing student’s transcripts and academic awards; facilitating production of various statistics on student matters; preparing teaching timetables in cooperation with Faculties.Supervises the processing of student applications to the University including all correspondence with the applicants.Prepares and issues official progress reports, grade reports and transcripts of academic credits to students, advisors, sponsors, employers and educational organizations.Checks student records against graduation requirements before the students are recommended to the General Faculty Assembly for degrees, diplomas and certificates.

One Community

The One Community activity is funded by PEPFAR, through USAID Malawi. It is an activity implemented in Malawi by a consortium led by Johns Hopkins Center for Communication Programs (CCP) and its partners Project HOPE and PLAN International. The purpose of the One Community activity is to mitigate the impact of HIV and AIDS and decrease new HIV infections It is providing care and support, impact mitigation and prevention services in a single integrated response at the community level.

JOB SUMMARY

The Finance Officer will assist the Finance/ Administration in daily smooth running of finance and Administration office, ensuring that Project HOPE staff receive efficient accounting and administrative support.

SPECIFIC RESPONSIBILITIES

Prepares payment vouchers, check and supporting documents for approval
Processes and records cheques and disbursements on a daily basis, including verifying the accuracy of invoices and supporting documents.
Data inputs into accounting software — Quick books pro.
Assists in preparing monthly salaries.
Performs monthly bank reconciliations.
Assists in preparing financial reports and documents for home office and donors.
Assists in remitting tax deducted from staff salaries (PAYE) and preparing tax returns as per USAID and Project HOPE requirements.
Assists office staff in the preparation of budgets and financial plans,Maintains proper filing system of financial documents.
Provides technical assistance, including site visits, to District offices to ensure proper financial management and timely submission of required financial returns.
Ensures District team comply with financial management systems.
Supervises distribution and reconciliation of financial advances to support programs activities.
Assists the Finance and Administrative Manager in the preparation and maintaining financial tracking systems for programs and activities, based on work plans and budgets.
Gathers information on costs when required for budgeting purposes.
Maintains office petty cash
Procures equipment and supplies for program activities
Maintains assets inventory.

QUALIFICATIONS AND EXPERIENCE

At least 5 years of experience as a Finance Officer with similar projects.
Degree in Accounting is required.
Experience with donor accountability and financial skills, preferably International NGO.
Experience and knowledge of financial management and reporting processes and procedures
High proficiency in use of computers, particularly Microsoft Excel, Microsoft Word, etc.
Ability to use Quick Books Accounting software program.
Strong analytical and result–oriented skills.
High standards of integrity.
Ability to work as part of team
Local language capacities desirable.
Fluent in English, both written and spoken; excellent written and oral communication skills.
Malawian nationality highly preferred.

Measure velocity, horsepower, revolutions per minute (rpm), amperage, circuitry, and voltage of units or parts to diagnose problems, using ammeters, voltmeters, wattmeters, and other testing devices.
Prepare all reusable parts for rewinding and inspect renewed parts for hidden, structural damage and unusual conditions.
Performs testing analysis on each assembled motor

TEVET Level 3 certificate in Motor rewinding, with an Indentured Apprenticeship; or Grade One National Trade Test Certificate in Motor Rewinding with not less than three years hands-on experience in a busy manufacturing industry

The Driver position in the Office falls under direct supervision of the Administrative/Finance Associate. The incumbent is responsible for up keep and maintenance of the assigned UNHCR vehicle(s) as per technical guidance and specifications established by the organisation. He/She is required to follow strict instructions and security guidance provided by the supervisor. While basic function of a Driver is to drive the official vehicles of UNHCR, he/she may be called upon to perform minor maintenance and repair of UNHCR vehicles.

The incumbent has regular contacts with staff within UNHCR office and with service providers outside UNHCR involving a limited exchange of information.

Accountability (Key results that will be achieved)

Assigned UNHCR vehicles are properly maintained and equipped as per technical guidance and specifications established by the Organisation. Local traffic rules and regulations are strictly observed. Instructions and security guidance provided by the supervisor and security focal point are strictly followed by the Driver and the passengers during the journey.

Responsibility (process and functions undertaken to achieve results)

Drive UNHCR vehicles for the transport of authorized passengers and delivery and collection of mail, documents, UNHCR pouch and other items. Meet official personnel at the airport and facilitate immigration and customs formalities as required. Perform day-to-day maintenance of the assigned vehicles; check oil, water, battery, brakes, tires, etc. and ensure that the assigned UNHCR vehicles are road worthy and maintained up to the established security standards. Perform minor repairs and arrange for other repairs and ensure that the vehicle is kept clean. Ensure that the steps required by rules and regulations are taken in case of involvement in accident. Log official trips, daily mileage, gas consumption, oil changes, greasing, etc. Perform other related duties as required.

Authority (decisions made in executing responsibilities and to achieve results)

Drive the vehicle only when his/her safety or security is not at risk. Ask the passenger about the destination of the journey and route. Decline to drive passengers not authorized to be in a UNHCR vehicle.

ESSENTIAL MINIMUM QUALIFICATIONS AND PROFESSIONAL EXPERIENCE REQUIRED.

Completion of Primary Education or equivalent technical or commercial school.
Minimum 2 years of previous job experience relevant to the function.
Driving licence, knowledge of driving rules and regulations and skills in minor vehicle repair.
Good knowledge of English and local language.
