FINANCE AND ADMINISTRATION INTERN

 The Art and Global Health Center Africa (AGHCA) is looking for a highly motivated individual to serve as a Finance and Administration Intern. The experience for the intern will be a hands-on one; in a real-world, dynamic, supportive and fast paced multicultural and collaborative environment. At AGHCA the intern will develop in problem-solving methods, and develop and apply skills in finance, administration and logistics.

Job Description

The Finance and Administration Intern reports to the Finance and Operations Officer and is responsible for providing financial, administrative and operational support. Providing these services in an effective and efficient manner will ensure that the organisation’s finances are accurate and up to date, payments are made timely, and that administrative functions contribute to the efficient running of the organisation.

Responsibilities

1. Perform the day to day processing of financial transactions

Main Activities:

§ Receive and verify invoices and requisitions for goods and services

§ Verify that transactions comply with financial policies and procedures

§ Prepare requests and payment vouchers and coding payment documents

§ Reconciliation of imprest returns

§ Maintain the cashbook

§ Manage the petty cash

§ Collection and filing of bank statements

2. Provide administrative support

Main Activities:

§ Monitor and order office supplies

§ Prepare and update Asset Register/Inventory files

§ Maintain an electronic and hardcopy filing systems

§ Development and maintenance of contact database

§ Ensure the confidentiality and security of all financial and employee files

§ Provide logistical support for organizational activities and volunteer placements

§ Monitor vehicle/fuel usage- maintenance of the vehicle log book and fuel reconciliation

§ Organizing meetings; Taking, filing and circulating minutes

§ Other administrative duties as required



Knowledge

The person must have proficient knowledge in the following areas:


i. knowledge of office administration and bookkeeping procedures


ii. knowledge of accounts payable, accounts receivable and maintaining general ledgers


iii. ability to maintain a high level of accuracy in preparing and entering financial and cashbook information, and confidentiality


iv. project logistics

Skills and attributes

She or he must demonstrate the following skills:


i. excellent interpersonal and teamwork skills


ii. Self motivated and able to take initiative


iii. Punctual and reliable


iv. bookkeeping skills


v. analytical, problem solving and decision making skills



vi. effective communication skills: written, verbal and listening



vii. very effective organisational and time management skills



viii. computer skills including the ability to use excel spreadsheet and word processing programs, and e-mail at a highly proficient level


ix. Capacity to learn new skills, for example self directed learning on administrative systems and learning new computer programs.



Minimum Educational Requirements

Diploma in Administration, Secretarial studies or Accounting

Qualifications

Roles and Responsibilities

To assist in managing all aspects of the finance function of the Concern Worldwide Malawi country programme,
This is an exciting opening for a talented and committed individual, requiring excellent technical financial skills and strong management, strategic thinking and communication skills,
There is scope for the right individual to grow in the role, handling larger and more diverse portfolios as the organisation continues to grow and develop
Develop a strong finance tam through line managing and providing technical training to Finance Officers in accordance with organisational values, policies and procedures,
Support the Country Finance Controller (CFC) in ensuring that strong finance systems exist and are adhered to internally and in partner organisations with which Concern implements programmes,
Prepare and issue of timely management accounts to Budget holders/managers,
Prepare accurate balance reconciliations, variable reports and review cashbooks, bank books and month end Journals,
Assist the CFC in the preparation and consolidation of annual budgets Budget revisions, donor reports as well as preparing for and following up on external audit recommendations,
Prepare recharge schedules submit quarterly recharges reports to Dublin in a timely manner,
Provide cover in the absence of the CFC, Perform regular field visits to provide support to field finance staff and managers
