Information and Documentation Officer

Job purpose

Responsible for development of Information, Education, Communication and Marketing tools for CYECE and its programmes for increased learning and visibility at local, district, national and global level

Key duties and responsibilities

Reporting to the Advocacy and Communications Officer; The incumbent will be responsible for:

Designing Information, Communication and Education (IEC) materials i.e. posters, leaflets, brochures
Typesetting and graphic designing of training manuals, donor reports, newsletters, success story booklets, staff business cards among others
Video and Audio documentation of programme stones of change and events
Updating CYECE Social Media Platforms on regular basis i.e website, Facebook page, Twitter, Instagram etc
Branding and marketing CYECE projects and events using various platforms and forums Facilitate printing of all CYFCE Information, Education and Communication (IEC) materials Establishment and Management of CYECE recording and printing studios
Any other duties as may be assigned from time to time..
Essential Skills and Abilities

Possess excellent skills in graphic designing, music recording, video shooting and editing
Ability to take professional still pictures
Excellent interpersonal and presentation skills coupled with good understanding of the organization’s overall business and its goals Proficient in using computers with relevant knowledge and skills in modern computer packages for designing and publishing.

Qualification

Applicants must possess a minimum qualification of Diploma in Computer Science or any other relevant discipline.

Monitoring, Evaluation and Learning (MEL) Officer

Job purpose

The MEL Officer will be responsible for the management of protect data (data collection, entry, cleaning and storage) she/he will ensure program data quality standards (accuracy, completeness, timeliness and confidentiality) are maintained from time to time.

Duties and Responsibilities

Reporting to the Deputy Director of Programmes, the incumbent will be,

Responsible for the development and implementation of MEL Frameworks, Log frames and Plans including Outcome Mapping Plans
Responsible for the consolidation of monthly, quarterly and annual MEL work plans for designated protects
Conduct routing monitoring visits to project sites to verify and validate data and reports
Responsible for the management of M and E databases for designated projects Developing checklists and tools to monitor project implementation
Participate in the drafting and consolidation of donor reports Making sum that all designated projects hove MEL plan, Framework and database Assisting in the coordination and implementation of research activities (Baseline, Midterm, end line evaluations )
Facilitate organization learning activities for designated projects Ensuring that all designated projects have well defined indicators, baseline values and targets
Responsible for training of field data collectors Support community volunteers in data collection and ensure that data tools are understood and are available in the community at all times
Ensuring that protect database is updated monthly
Organize -community review meetings with stakeholders
Ensuring timely submission of community and district MEL reports Any other duties as assigned from time to time by management.
Essential Skills and Abilities

Possess excellent data analysis and report writing skills

Excellent interpersonal and presentation skills
Good understanding of the organization’s overall business and its objectives
Proficient in using computers with related knowledge and skills in Research and MEL related packages such as SPSS, State, NVIVO, etc.

Qualifications

Must possess a Bachelor’s Degree in Science motor in Statistics, Mathematics or any other related field.

Administrative Assistant – Head Office

Duties

Organize, Coordinate and schedule meetings and appointments
Produce and distribute correspondence memos, letters, faxes and forms
Develop and maintain a filing system for the organization from time to time Order office supplies in close collaboration with FAO
Coordinate and update staff personal files from time to time Book travel arrangements for staff members within and outside of Malawi
Submit and reconcile expense reports to FAO for approval
Provide general support to visitors as required
Provide support to the District Coordinator in the implementation of the project activities and management of district offices
Sort and distribute incoming mail to areas and staff within the organisation and dispatch outgoing mail
Write business letters, reports or office memos using word processing programmes

Requirements

Qualifications

Administrative coordinator

Primary Duties or Responsibilities

Administrative support

Administration of employee benefits and allowances
Assist the Operations Manager in the administration of the unit’s human resource functions. such as, recruitment of project staff, processing Independent Consultants agreements. performance appraisal. administration of employee benefits and allowances;
Assists in the orientation of new staff, interns, and consultants by providing them with the necessary documents and materials for orientation;
Update inventory records in the Master inventory and issue and distribute property in accordance with policy and procedures
Perform micro purchases as requested
Assist the Operations Manager to draft solicitations and technical specifications to ensure completeness, accuracy and competitive qualities, and generates bid matrix and compiles procurement documentation.

Program Support

Assists other team members in preparing and formatting documents, including activity and expense reports, Power Point presentations: develops and maintains an efficient electronic and hard copy filing system
Organizes regular team meetings and conference calls/video-conferences, including the preparation and distribution of documents and providing the necessary technical devices:
Liaises with Regional Office staff as required, and provides assistance to Regional Office staff when visiting headquarters:
Works with Program Staff to coordinate work activities. meet deadlines, and provide support where needed;

Travel Management

Arranges and books accommodation for staff conducting field trips. Contacting hotels to obtain estimated rates and calculates per diems;
Maintains and regularly updates travel plans and budget amounts to provide an accurate overview of the Program’s travel arrangements and budget, which includes liaising with Regional Office staff for their input;
Requests the issuance of visas / work permit
Coordinate with motor poi for all transport arrangements for the team
Monitor the drivers schedule, and review motor vehicle log sheet and monthly summary and advise any deviations being observed.
Workshops and Events

Liases with members of partner organizations to coordinate logistical arrangements for workshops that take place in different locations;
Supports the technical team in preparing training kits or information packages for workshops and trainings in a timely manner.

Qualifications

At least minimum 5 years of progressively responsible experience providing admin support for local NGO partner for USAID or Other Donor funded programs; experience with day to day logistical and technical support.
Experience in procurement and demonstrated knowledge of USAID rules and regulations for recruitment and procurement;
Excellent verbal and written communication abilities and strong inter-personal skills a plus.
Demonstrated sound judgment, negotiation skits, respectful, analytical mind, attention to detail and integrity are required
High level knowledge of computer including Microsoft office – word, excel, outlook, power point and internet
Minimum of a University degree in Business Administration, Management procurement or any other relevant qualifications

Duties and Responsibilities

Assist the Programme Manager in preparing and organizing programme activities, coordinating logistics and budgeting.
Carry out monitoring and evaluation of activities.
Assisting in assessment of capacity gaps in programme implementation of political parties and identifying ways and means of addressing such gaps.
Assist in the identification/strengthening of networks of like – minded organizations both governmental and civil society
Take active part in fundraising initiatives of CMD.
Support the visibility drive of CMD by providing input and suggestions for visibility, outreach, maintaining a database of the media outlets and ensuring that the CMD website is regularly updated.

DISTRICT MEDICAL COORDINATOR

The District Medical Coordinator (DMC) will provide in-depth clinical and data-driven guidance and mentorship to improve quality and performance of Tingathe programs in his/her assigned district. Through site visits, clinical support for mentorship teams, and M&E review, the DMC will work with district team members to ensure coordinated program implementation and progress toward program goals. Specifically, the DMC will support HIV case finding, linkage to and retention in HIV care, PMTCT/EID services, and quality of HIV care
Reports to Zonal Medical Manager

Key Responsibilities

Program Management

lead district team in efforts to achieve program goals:
develop district program work plans
contribute to district (Ministry of Health) implementation plans
oversee mentorship and systems strengthening schedules of district mentorship teams
facilitate collaboration and communication across district teams Represent Baylor-Tingathe at meetings with partners and stakeholders as needed Mentor and foster professional growth among staff members, specifically clinical mentors, to develop clinical teaching, leadership and program management skills
Mentorship and Clinical Support

Support clinical mentors to ensure quality of comprehensive HIV care through field visits with clinical mentorship team and support of continuing medical education activities in the district.
Mentor team members to develop 01 and M&E skills
Conduct ward rounds at Tingathe-supported sites with inpatient care in order to provide clinical mentorship and consultation.
QI and M&E

Work with mentorship team, HDAs, and CHWs to plan for priority facilities
Regularly review M&E data with team to understand program performance and help develop solutions to address challenges in meeting targets
Ensure ongoing communication between clinical and M&E teams to improve data collection and quality
