 The Feed the Future Ag Diversification Activity is a five hear project that contributes to USAID/ Malawi’s Feed the Future goal of sustainably reducing poverty and stunting in eight districts of central and southern Malawi. The activity fosters inclusive and sustainable growth of Malawi’s agricultural sector. The activity seeks to improve the nutritional status of women and children under five through a proven nutrition sensitive approach if layering agriculture and nutrition behavior change interventions in rural communities while increasing the competitiveness of high value. nutrient-rich value chains through support for agricultural enterprises and increased access to markets and finance.

Objectives

The overall responsibility is to drive project vehicles in such a way to ensure the safety of all project staff and items. Collect and deliver items as detailed by dispatcher.

Duty Station: Lilongwe, Malawi

Reporting: Operations Manager

Responsibilities

Driving vehicles as directed. including transporting staff to the field, performing pickups and delivery tasks.
Being responsible for routine vehicle maintenance, inspect the vehicle, noting damage, scratches, malfunctions, or problems and report any faults to senior driver.
Compile trip reports for drivers and field staff motor bikes
Compile vehicle and motorcycle weekly log sheets and enter into the fuel consumption report
Ensuring vehicles are clean and net maintained and road worth at all times
Process monthly fuel requests and consolidate fuel liquidations for office vehicles and field staff motorcycles
Process vehicle maintenance work orders. insurance and COF for vehicles and motorcycles
Ensure that self and all passengers are wearing seatbelts prior to departure, including those in the back seat
Record correctly and on time trip details in the log sheets
Report any accident involved while driving project vehicle to Police and appropriate authorities Ensure vehicle has all the required forms before starting a trip
Ability to perform messenger duties including photocopying, scanning, backstopping receptionist
Any other duties as assigned by the Supervisor.

Qualifications

Valid driver’s licence minimum class EB with Category P and Defensive driving certificate and Chauffer certificate.
Minimum driving of 5 years’ experience of which 2 years’ experience working with USAID/ Donor funded organization in off road and various districts across Malawi
Must have working knowledge of English both Oral and Written
Must be computer iterate – knowledge of Microsoft word, excel and internet.
Must be fully competent with Malawi Rood Traffic Driving Laws and have a Safe Driving record
Must possess basic auto repair and maintenance skills Must have ability to make sound safety- driven decisions regarding weather, road conditions and other safety risks
Knowledgeable of driving 4X4 vehicles
Completion of secondary education.

GRANTS OFFICER

 Objectives

The Financial Services Advisor will work closely with and support the Finance and Investment Director at SASH in the execution of innovative strategies and activities to facilitate and accelerate access to finance investment in Malawi.

Duty Station: Lilongwe, Malawi

Reporting: Grants Manager

Tasks and responsibilities

As the Grants Officer you will among others be responsible for:

Scheduling and organizing regular grant meetings-both in-house with Technical and Operations teams and external with grantees.
Ensuring that grant implementation for all Ag Div Grants are in compliance with USAID and Palladium policies and procedures
Assisting in conducting cost analysis of grantee budgets including analyzing cost and budget data contained in applications, funds request and justification to ensure that all costs are allowable, allocable, necessary and reasonable.
Updating on a monthly basis the Grant Tracking System including reviewing grant recipient reports and documentation ensuring compliance with Grant Agreement terms and conditions to ensure timely and correct execution of all grant agreements
Maintaining open and effective communication with grant recipients to ensure smooth administration of all grants including identification and management of progress bottlenecks.
Organizing Pre-Award Events such as Evaluation Surveys.
Coaching Clinics and meetings between Ag Div and potential grantees.
Liaising with technical teams as required throughout the grant management cycle.
Working on additional assignments in accordance with the needs of the Activity
Drafting grants related program documents,
Coordinate award amendments process.

Qualifications and Experience

Minimum of Bachelor’s Degree in Accounting, Business Studies, Social Science. Development Studies, International Development with at least 7 years of experience in Development Management with a strong leaning on grant management or other relevant fields.
Minimum of 5 years of experience managing grants for donor organizations.
Experience with USAID grants management system highly preferred
Excellent interpersonal and leadership skills, including an eye for detail, ability to manage large budgets and client expectations.
Strong interpersonal skills required for working with technical project staff and beneficiaries
Demonstrated ability to work under pressure with limited guidance and strict deadlines yet deliver high quality products.
Excellent communication skits are essential to write effectively and persuasively and be able to present information in a variety of settings and formats to diverse clients and project stakeholders.
Professional fluency in English required

Administrative coordinator Reporting To: Operations Manager

 Primary Duties or Responsibilities

Administrative support

Administration of employee benefits and allowances
Assist the Operations Manager in the administration of the unit’s human resource functions. such as, recruitment of project staff, processing Independent Consultants agreements. performance appraisal. administration of employee benefits and allowances;
Assists in the orientation of new staff, interns, and consultants by providing them with the necessary documents and materials for orientation;
Update inventory records in the Master inventory and issue and distribute property in accordance with policy and procedures
Perform micro purchases as requested
Assist the Operations Manager to draft solicitations and technical specifications to ensure completeness, accuracy and competitive qualities, and generates bid matrix and compiles procurement documentation.

Program Support

Assists other team members in preparing and formatting documents, including activity and expense reports, Power Point presentations: develops and maintains an efficient electronic and hard copy filing system
Organizes regular team meetings and conference calls/video-conferences, including the preparation and distribution of documents and providing the necessary technical devices:
Liaises with Regional Office staff as required, and provides assistance to Regional Office staff when visiting headquarters:
Works with Program Staff to coordinate work activities. meet deadlines, and provide support where needed;

Travel Management

Arranges and books accommodation for staff conducting field trips. Contacting hotels to obtain estimated rates and calculates per diems;
Maintains and regularly updates travel plans and budget amounts to provide an accurate overview of the Program’s travel arrangements and budget, which includes liaising with Regional Office staff for their input;
Requests the issuance of visas / work permit
Coordinate with motor poi for all transport arrangements for the team
Monitor the drivers schedule, and review motor vehicle log sheet and monthly summary and advise any deviations being observed.
Workshops and Events

Liases with members of partner organizations to coordinate logistical arrangements for workshops that take place in different locations;
Supports the technical team in preparing training kits or information packages for workshops and trainings in a timely manner.

Qualifications

At least minimum 5 years of progressively responsible experience providing admin support for local NGO partner for USAID or Other Donor funded programs; experience with day to day logistical and technical support.
Experience in procurement and demonstrated knowledge of USAID rules and regulations for recruitment and procurement;
Excellent verbal and written communication abilities and strong inter-personal skills a plus.
Demonstrated sound judgment, negotiation skits, respectful, analytical mind, attention to detail and integrity are required
High level knowledge of computer including Microsoft office – word, excel, outlook, power point and internet
Minimum of a University degree in Business Administration, Management procurement or any other relevant qualifications
Professional fluency in English required.

Background:

The Project Coordinator will provide technical and operational leadership at the regional office in the Southern Region, Blantyre office, supporting the COP in all facets of program management, representing the activity with donors and stakeholders.

Responsibilities

The Project Coordinator will work closely with the Chief of Party to manage the day-to-day operations of the activity.
The Project Coordinator will provide technical and managerial leadership and will focus on building partnerships with key stakeholders.
Ensure an integrated technical and operational approach among components and partners
Ensure effective use of resources, on-time delivery of staff and partners deliverables, and compliance with USAID regulations
Identify obstacles and risks related to program implementation in a timely manner and suggest appropriate adjustments
The Project Coordinator will oversee the • satellite offices in southern region and staff Other duties as needed to respond to the direction of the COP and the needs of the USAID client.

Qualifications

Minimum of a Master’s degree in Social Sciences, Agriculture, Development Studies. International Development, Business Administration, or related field.
Minimum of 8 years of relevant working experience leading an office and coordinating value chain development or financial services
Prior experience working on USAID programs preferred
An understanding of monitoring and evaluation
Professional fluency in English required.
