Department Overview

Administration, contributes to realizing this purpose by:

Providing Support to all staff including maintaining a dean organized and professional office space;
Operation and management of Pact vehicles;
Provision of support to the procurement and management of assets and supplies.
The administration team’s contributions create a safe and welcoming operating environment for the entire Pact Malawi team.

Position Purpose

Reporting to the Governance & CB Specialist, the Driver responsible for safe transport of Pact Malawi staff and ensuring the vehicles are properly maintained and kept in good repair.

Key Responsibilities

Will operate and maintain project vehicles in good working order with focus on roadworthiness, safety and compliance with the law;
Performing daily pre-trip and post-trip vehicle inspections, check functionality;
Maintain cleanliness and performing minor maintenance tasks on the vehicles when necessary;
Ensuring that periodic scheduled vehicle maintenance, repairs, insurance and licensing is completed timely and reported;
Providing other logistical support services as requested by management when not engaged in transportation service;
Maintain a neat personal appearance and polite demeanor as prescribed by professional and local standards;
Perform simple office tasks as assigned from time to time, such as placing phone calls, taking messages, making photocopies, collating and organizing reports, picking up and delivery of mail in the absence of or together with the Office Assistant.

Basic Requirements

Ability to communicate effectively in English, orally and in writing;
Ability to establish effective professional relationships and maintain customer courtesy with visitors, co-workers, and upper level management and employees.
Extensive knowledge of the operations and features of assigned vehicle(s);
Should have the ability to drive a multi-passenger vehicle safely and appropriately and should be familiar with the road Laws of Malawi;

Preferred Qualifications

Mature Driver with over 10 years professional experience in projects, with a valid, accident free and endorsement free Driving license.
A Malawi School Certificate of Examination;
A Defensive Driving license will be an added advantage.

Essential Functions

The position of Mechanic will be a key member of the Technical Team when fulfilling the following roles:

Servicing Company Vehicles (including tractors, motorbikes, outboard boat engines) as per service menus
Provide quality workmanship
Accurate identification of vehicle faults, Parts that need replacement and proper fitment of Vehicle Parts.
Proper management of tools and equipment
Ensuring that driving complies with all the relevant Malawi safety and road traffic legislation.
Assisting the workshop supervisor with preventative maintenance and repairs on motorized equipment.
Ensure work area is tidy at all times
Assisting with any other reasonable tasks outside of the scope of work mentioned above as required from time to time by management.

Qualifications

Malawi School Certificate of Education or its equivalent.
Diploma in Motor Vehicle Mechanics will be an added advantage
Motor Vehicle Technicians — Grade I
City and Guilds Certification.

Competent written and spoken English.
At least five years previous experience as a Mechanic.

The Driver position in the Office falls under direct supervision of the Senior Administrative/Finance Associate. The incumbent is responsible for up keep and maintenance of the assigned UNHCR vehicle(s) as per technical guidance and specifications established by the organisation. He/ She is required to follow strict instructions and security guidance provided by the supervisor. While basic function of a Driver is to drive the official vehicles of UNHCR, he/ she may be called upon to perform minor maintenance and repair of UNHCR vehicles.

The incumbent has regular contacts with staff within UNHCR office and with service providers outside UNHCR involving a limited exchange of information.

Accountability (Key results that will be achieved)

Assigned UNHCR vehicles are properly maintained and equipped as per technical guidance and specifications established by the Organisation.
Local traffic rules and regulations are strictly observed.
Instructions and security guidance provided by the supervisor and security focal point are strictly followed by the Driver and the passengers during the journey.
Responsibility (process and functions undertaken to achieve results)

Drive UNHCR vehicles for the transport of authorized passengers and delivery and collection of mail, documents, UNHCR pouch and other items.
Meet official personnel at the airport and facilitate immigration and customs formalities as required.
Perform day-to-day maintenance of the assigned vehicles; check oil, water, battery, brakes, tires, etc. and ensure that the assigned UNHCR vehicles are road worthy and maintained up to the established security standards.
Perform minor repairs and arrange for other repairs and ensure that the vehicle is kept clean.
Ensure that the steps required by rules and regulations are taken in case of involvement in accident.
Log official trips, daily mileage, gas consumption, oil changes, greasing, etc. Perform other related duties as required.
Authority (decisions made in executing responsibilities and to achieve results)

Drive the vehicle only when his/her safety or security is not at risk.
Ask the passenger about the destination of the journey and route.
Decline to drive passengers not authorized to be in a UNHCR vehicle.
Essential Minimum Qualifications and Professional Experience Required

Completion of Primary Education or equivalent technical or commercial school.
Minimum 2 years of previous job experience relevant to the function.
Driving licence, knowledge of driving rules and regulations and skills in minor vehicle repair.
Good knowledge of English and local language.
