CONTRACT MANAGEMENT SYSTEM PROJECT MANAGER

 Reporting to: HEAD OF FUNDRAISING AND COMMUNICATION

Roles and Responsibilities include,

A. Project Management

Lead the implementation process for the CMS from a AAM perspective ensuring AAM requirements are identified and included in the system .
Manage the roll out of the system in the AAM embedding the system in contract management cycle

B. Process mapping:

Review current AAM country contract management processes across Humanitarian, Programme and High Value funding teams against the ‘to be’ processes for the Federation which were identified during the Proof of Concept for the x5 phases of the contract management cycle.
Identify areas where processes and workflows for the system need to be adapted to ensure relevance to country needs.
Map and document workflows according ensuring key stakeholder input, so that they can be configured onto the pilot database
Coordination of stakeholders to develop Content
Lead on the process ensuring AAM requirements are met in the development of global standardised templates, guidelines and policies to accompany the `to be’ donor contract management processes (led by the global Business Process Analyst) drawing on subject matter experts
Be a champion for the CMS – actively communicate to the organisation and the wider Federation about the benefits of standardised contract management processes and the CMS

C. System development

Participate in vendor evaluation during the procurement phase, and coordinate country input
Lead AAM participation in CMS ‘design and build’ meetings/webinars representing AAM’s requirements with the system vendor
Attend training and system development face-to-face workshop(s)

D. System testing

Develop or adapt scenarios & scripts for system user testing in country, and help define acceptance criteria
Manage user testing in country, ensuring key stakeholder input
E. Training

Lead the roll out of new contract management guidelines & policies including training and support in the Malawi (supported by the global Business Process Analyst)
Train staff on how to use the system, including development of any necessary country-specific support materials or any translations of global materials
Manage data migration in country (data validation; migration of specific data for pilot; preparation for roll-out)
Provide support to users and act as the first point of contact for country staff for the contract management processes &/or the CMS

Qualifications, Skills and Competencies

Essential Desirable

Experience / understanding of managing donor grants or contracts to understand the needs of the users.
Good project management experience & skills, including team coordination,
Good Information and Communications Technology skills (e.g. MS Word, Excel, PowerPoint) and experience working with systems & databases
The ideal candidate should have at least a relevant Degree.
Experience of delivering and facilitating training courses/ workshops.
Strong organisational skills, including the ability to work on own initiative and to independently manage a busy workload with sometimes conflicting priorities.
Working knowledge of MS Vivo for process mapping, or the ability to learn quickly.
Excellent interpersonal skills to work well with diverse stakeholders at all levels of seniority.

IT Officer

The position will be responsible for management of the overall technology infrastructure for the association including planning, implementation and management of the software applications and hardware infrastructure that support operations. The position will report to the Director of Finance and Administration.

Main Responsibilities

General Administration of the association networks
Installation of network servers, network equipment and telephony equipment.
Administration of Microsoft Exchange 2000 mail server.
Maintain system security by having regular antivirus updates and all security features on the client machines.
Commissioning, migrating and decommissioning hardware, software, and network infrastructure and user access to support the needs of staff.
Undertook routine maintenance and checked networked workstations and other peripherals.
Hardware, software and systems troubleshooting and administration
Preparation and control of computer systems budgets and expenditures
Support Accounting packages: Sage Evolution System and VIP Payroll system.

Qualifications

A minimum of Bachelor’s Degree in Computer Science,
At least five years of progressively responsible experience in the Information Technology field.

Main Responsibilities

Establishing and managing a performance monitoring framework with clear-cut goals, outcomes, outputs, inputs, processes, indicators, data needs and sources, and reporting formats and frequency, for effective monitoring, reporting and updating progress of programs.
Ensure results of monitoring and evaluation are used to improve projects , for program planning and decision making
Ensure programme efficiency and effectiveness as per stated goals, objectives and targets of projects using the outcomes of monitoring and evaluation
Develop and implement a mechanism for reporting on qualitative indicators
Document and disseminate achievements, lessons learned and promising/best practices
Participate in FPAM’s resource mobilization drive
Coordinate organizational knowledge management activities and provide feedback/support to districts.

Qualifications

Degree in Social Sciences, Statistics, Project Management
Candidates with Master’s Degree will have an added advantage
At least five years of progressively responsible experience in monitoring evaluation, and research in the public or private sector, preferably related to health.
Demonstrated experience in project planning, monitoring and evaluation in a donor funded project is highly desirable.
Excellent analytical and interpersonal skills along with strong organizational ability; must be able to obtain, analyse and evaluate a variety of information; organize, interpret and present it in meaningful oral or written form for varied audiences and provide solid analysis leading to sound decision-making.
Excellent interpersonal and team working skills and a high degree of computer literacy.

 One of the leading microfinance institutions is looking for a suitably qualified candidate to fill the position of the Operations Manager tenable at its head office in Blantyre. The Operations Manager (OM) will support the CEO provide strategic leadership and management of the institution. He/She will play a key role in overseeing lending operations, loans administration, debt collection, financial management, human resources management, Systems management and periodic reporting. He will be expected to work closely and coordinate with the rest of the Senior Management Team both at head office and branch levels.
