VACANCY ANNOUNCEMENT ADMINISTRATIVE ASSISTANT-HEAD OFFICE

 Centre for Youth Empowerment and Civic Education (CYECE) is a Non- Governmental and not-for-profit organization established in March 1997 to promote Children’s rights, Youth Sexual Reproductive Health Rights, (SRHR) and Youth Empowerment through capacity building, advocacy, community mobilization and communication for positive social and behavior change.

CYECE would like to recruit staff members to beef up its programme and administration team to ensure effective delivery of its programmes. CYECE therefore invites applications from suitably qualified candidates for the following position tenable at Head Office in Lilongwe.

Administrative Assistant – Head Office

Duties

• Organize, Coordinate and schedule meetings and appointments
• Produce and distribute correspondence memos, letters, faxes and forms
• Develop and maintain a filing system for the organization from time to time
• Order office supplies in close collaboration with FAO
• Coordinate and update staff personal files from time to time
• Book travel arrangements for staff members within and outside of Malawi
• Submit and reconcile expense reports to FAO for approval
• Provide general support to visitors as required
• Provide support to the District Coordinator in the implementation of the project activities and management of district offices
• Sort and distribute incoming mail to areas and staff within the organisation and dispatch outgoing mail
• Write business letters, reports or office memos using word processing programmes
• Answer telephone enquiries from partners, attend to visitors and assist other staff in the organisation with their enquiries
• Operate a range of office machines such as photocopiers, computers, faxes, file papers and documents
• Undertake other duties such as banking, credit control or payroll functions.
• Coordinate Board Meetings for CYECE board members from time to time
• Any other duties as may be assigned by the District Coordinator from time to time

Requirements

• Proven admin assistant experience
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong Organisational and planning skills
• Proficiency in MS Office

Qualifications

Candidates must have at least a minimum of Diploma in Business Administration, Marketing, Human Resource Management or any relevant other relevant qualifications plus a minimum of 2 years progressive work experience in a similar position.

Information and Documentation Officer

Job purpose

Responsible for development of Information, Education, Communication and Marketing tools for CYECE and its programmes for increased learning and visibility at local, district, national and global level.

Key duties and responsibilities:

Reporting to the Advocacy and Communications Officer; 
The incumbent will be responsible for;
• Designing Information, Communication and Education (IEC) materials i.e. posters, leaflets, brochures
• Typesetting and graphic designing of training manuals, donor reports, newsletters, success story booklets, staff business cards among others
• Video and Audio documentation of programme stories of change and events
• Updating CYECE Social Media Platforms on regular basis i.e. website, Facebook page, Twitter, Instagram etc.
• Branding and marketing CYECE projects and events using various platforms and forums 
• Facilitate printing of all CYECE Information, Education and Communication (IEC) materials
• Establishment and Management of CYECE recording and printing studios 
• Any other duties as may be from time to time. 
Essential Skills and Abilities 
• Possess excellent skills in graphic designing, music recording, video shooting and editing 
• Ability to take professional still pictures
• Excellent interpersonal and presentation skills coupled with good understanding of the organization's overall business and its goals 
• Proficient in using computers with relevant knowledge and skills in modern computer packages for designing and publishing.

Qualification

Applicants must possess a minimum qualification of Diploma in Computer Science or any other relevant discipline.

 Responsibilities

Developing and implementing the Malawi Country Programme’s People and Organizational Development Strategic Plan,

Working effectively with the Senior Management Team (SMT), providing advice, influencing and challenging the SMT to ensure leadership in line with WaterAid’s values

Supporting change management processes

Ensuring effective performance management for the entire Country Programme, embedding and role-modelling a strong performance management culture and process, supporting and coaching staff and managers in the appraisal process

Managing recruitments and resourcing, ensuring the Country Programme identifies and maintains a highly skilled staff complement, including on boarding processes for all new recruits

Managing learning and development through coaching line managers to understand employee learning needs, career aspirations and to build learning and development plans; developing the annual Country Programme learning and development plans, supported by learning initiatives from the Global People Team.

Leadership and Management Development: Working with the Regional People Lead and global Leadership and Engagement Teams to build leadership competence in the Country Programme.

Reward and Payroll management: Working towards continuously improving the Country Programmes reward and benefits structures in line with WaterAid’s reward principles and national legislation.

Developing and maintaining all people and administrative policies and procedures

Effective management of employee relations, inclusive of industrial relations, discipline, grievance and others in line with WaterAid’s country and global policies and national legislation

Ensuring high levels of employee engagement, including managing staff surveys

Producing scheduled People reports, utilizing accurate people metrics

Working with the wider Global People Team in all People and Organizational Development projects

Administration: Providing efficient administrative services to the Country Programme.

Perform other role related tasks / activities as required by the Country Programme or Global People Team.

To be successful, you will need:

A Master’ s or Bachelor Degree in Human Resources Management. Those with a Degree in Business / Public Administration or Management should possess a postgraduate qualification in Human Resource Management.

Significant experience in human resources management, at least a minimum of 8 years, 3 of which at Senior management level

Must have demonstrated knowledge, understanding and application of the Malawi Labour Laws, Company Act, NGO Act and other relevant laws

Demonstrated ability to implement and manage Complex HR projects and OD initiatives in accordance with current International practices and trends

Ability to competently assess priorities; manage a variety of complex activities simultaneously in a time-sensitive environment, and meet competing deadlines

Excellent communication and interpersonal skills, demonstrated ability to interact professionally with culturally diverse stakeholders

Strong planning and organizational skills and budget management with a high level attention to detail

Strong IT skills, particularly MS Word, Excel, Outlook and Databases, Online recruitment tools and Intranet
