FINANCE ASSISTANTS

Job Title            :     Finance Assistants

Location            :    Various Duty Stations

Grade            :    F1

Key Responsibilities:

•    Preparation and issuance of cheques to third parties 
•    Receipt of revenue and cash on a daily basis and timely banking of all cash receipts
•    Prepare and submit revenue report to Station Supervisor and Head Office
•    Follow up with bank through the Station Supervisor of any discrepancy found in the course of daily reconciliation
•    Prepare monthly cash book and submit electronically to head office
•    Prepare revenue returns on a daily basis and forward to station supervisor for certification before dispatching to head office fortnightly
•    Ensure that accounts documents are filed properly and record all security documents in register and keep under lock and key
•    Accounting for Station imprest and inventory including fuel stocks
•    Ensuring that the authority’s laid down Cash Office procedures are followed
•    Perform any other duties assigned by superiors

Qualification and Experience:

•    PAEC Diploma or its equivalent with at least 2 years post qualification work experience in a reputable organization.

FINANCE OFFICER

Job Title            :     Finance Officer

Location            :    Head Office

Key Responsibilities:

•    Preparation of daily cash position
•    Preparation of payment vouchers for creditors and medical deductions
•    Receive and verify invoices, requisitions and goods received notes for goods/services
•    Effectively carry out Revenue, Transit and Creditors accounts reconciliations
•    Posting of invoices, expenditures, investments, loans deduction and money transfers in SAP ERP system in accordance with relevant accounting standards
•    Prepare cash books and cash controls and capturing of cash controls into IFMIS for government accounts
•    Collect revenue figures from Stations on daily basis and submit report to team leader timely
•    Ensure that terminal benefits for ex- employees are timely prepared and all loans are recovered in line with relevant polices and statutes 
•    Preparation of audit schedules for external and internal audits
•    Prepare appropriate journal vouchers to post adjustments to accounting records
•    Any other duties as assigned by management;

Qualification and Experience

LIVELIHOOD ASSOCIATES (2 POSTS )

 Main duties and responsibilities

Prepare regular reviews and appropriate monitoring and evaluation plans to measure progress and achievements and ensure timely ors proper documentation and permanent follow-up of all programme activities.
Ensures the proper reporting is produced by the partner and disseminate findings as appropriate
Timely communication, coordination and collaboration with partners, setting up of relevant reports, deliverables, financial reports and tracking programme assets provided by UNHCR to ensure that they are used for intended purpose
Specifically the Assistant Livelihoods Officer will perform the following tasks:

Provide technical support to the livelihoods programme through the following actions:
Manage a livelihoods database through gathering additional necessary socio-economic data.
Participate in all field surveys that are relevant for the livelihoods programme;
Analyze livelihoods data, including correlating livelihoods with other data on social protection, health and nutrition, water sanitation and hygiene and produce reports timely,
Provide field research results to the partners and programme team on a regular basis, if this research is independently undertaken as a means for tracking progress by UNHCR Malawi on the impact of the livelihoods interventions,
Share results with other partners, local authorities and report to the national programme team.
Ensure programmatic and administrative follow-up of projects through the following tasks
Share updates with the programme team and other relevant colleagues;
Compile and submit completed project documents to the respective team for review and comments,
Support organization and implementation of field dissemination workshops, meetings and coordinating with partners and refugees,
Participate in programme implementation activities and undertake field visits to support partner for project implementation;
Support compilation of progress reports, contribute with data for the mid-term review and annual reports for the monitoring and evaluation:
Work as a team member/player within the UNHCR livelihoods team and to support other activities and promote institutional goals.

MINIMUM QUALIFICATIONS REQUIRED AND WORK CONDITIONS

Bachelor’s Degree in Development Studies, Agriculture, Entrepreneurship and/or Marketing, on related fields
A Master’s Degree in the relevant field would be an added advantage,
3-4 years of work experience in a similar capacity,
Willingness to learn, to innovate and be creative as part of the job.
Willingness work in rural areas, as the duty station will be in Dzaleka in Dowa district where the main livelihoods activities are to be undertaken.
Demonstrated ability to speak and write fluently in English, as well as host country language (Chichewa in particular): knowledge of other languages desirable;
Excellent computer skills (MS Office applications):
Proven ability to independently handle correspondence, work independently with strong sense of initiative, discipline and self-motivation;
A drivers license, and in particular motor cycle is essential for field purposes;
Experience in field monitoring is preferred.
Starling Date: as early as possible

Manage litigation as well as out of court settlements relating to the above in conjunction with a panel of external local law firms, but with a view to minimizing all legal costs billed to the company by external legal counsel in doing so.
Mandatory Requirements

Law University Degree and at least 5 years of experience;
