PROJECT ACCOUNTANT

 Introduction

Dedza Catholic Development Commission in Malawi (Dedza CADECOM), being one of the eight CADECOMs in Malawi, is a relief and development arm of the Episcopal Conference of Malawi (ECM). Previously known as Caritas Malawi, CADECOM was established by ECM in 1984 as a response to relief and development needs of the people in Malawi.

With funding from Trocaire, Dedza CADECOM is implementing a four year livelihoods project in Dedza District.

Position Summary

Dedza CADECOM would like to engage the services of a competent and dynamic Project Accountant to provide timely and efficient accounting support to on – going Trocaire funded project.

Duties and Responsibilities

Timely preparation of monthly and quarterly financial reports for the project
Conduct monthly Bank and general ledger reconciliations
Maintenance of cashbooks
Prepare monthly, quarterly and annual project budgets and cash forecast and carry out regular budget reviews
To ensure that all supporting documentation is available on all staff requests and advances in accordance with the donor requirements
Maintaining a fixed asset register for all assets
Any other duties as assigned by the Finance Manager.

Qualifications and Experience

Degree in accounting with proven finance and accounting skills
At least three (3) years of relevant work experience in a closely related field with prior experience with donor funded projects
High level of computer skills and knowledge of QuickBooks Accounting Package is a must
Good understanding of IFRSs and Malawi tax laws
Posses excellent interpersonal, communication and analytical skills
Ability to work under pressure, meet strict deadlines and problem solving skills.

Job Title: OCCUPATIONAL HEALTH, SAFETY AND ENVIRONMENTAL (OHSE) OFFICER

 Reporting directly to the Technical and Quality Manager.

Job Purpose Summary

The OHSE Officer will be responsible for developing, implementing, monitoring and enforcing the organisation’s OHSE policy and ensuring that the organisation is compliant with all health and safety legislation. She/he will responsible for facilitating the reduction or prevention of hazards, dangers and accidents through education of staff among other measures.

Main Tasks and Responsibilities

Operational Execution

To develop, implement and monitor Occupational Health and Safety Policies, programmes and procedures.
Liaise with Management to ensure that responsibilities under the Occupational Health and Safety act are fully carried out.
Being aware of and ensuring compliance with all respective national and international legislation governing occupational Safety, health and environmental matters (as listed above).
Complete internal audits, ensuring that procedural and/or product failings are reported, logged and corrective actions are resolved in a timely manner.

Quality

Work closely with all production managers to review and continually improve OHSE standards.
Process monitoring and troubleshooting when and where required, in particular during critical times of production e.g. mango buying season.
Complete regular operational reviews, audits, and risk assessments.
Identify next steps and corrective action plans to ensure that non-compliances and issues are resolved.

People and performance Management

Oversee the establishment of the OSHE Committee, Steering Group and ensure that training is provided and Terms of Reference are in place. Ensure monthly meetings are held.
Ensure that OSHE discussions are conducted in all sections of the business before commencement of day’s work.
Conduct Sanitation and Hygiene trainings for all food handlers so that they operate in line with Food Sanitation and Hygiene regulations.
Organise and chair monthly OHSE committee meetings at each farm and factory site.
Working with Site Managers to establish OHSE Key Performance Indicators (KPIs) for each site that are compliant with the QMS and IK performance Standards.
Planning, implementing and monitoring the business’s HIV and AIDS Workplace Policy.

Risk Management

Ensuring proper disposal of solid and liquid wastes by providing necessary technical advice and enforcing the law.
Responsible for the design and implementation of corrective action plans stemming from risk assessments and OHSE committee meetings.
Applicants should have a Minimum of a BSc in Public Health, Environmental Health or similar field and at least 3 years’ experience in occupational health and safety management. Those with previous experience working in a food processing plant or food handling business will have an added advantage.

Finance Assistants

The successful candidates will report to the Finance and Operations Manager and will be based in Chitipa and Kasungu Districts.

Duties include and not limited to:

Preparepayment, journal and deposit vouchers with accurate coding, completeness and authenticity and capture transactions/data into QuickBooks.
Review and validate supporting documentation before processing payments and ensure all relevant supporting documentation is attached to all payments;
Record and reconcile financial transactions following appropriate authorisation;
Follow up with staff on advance funds liquidation;
Maintain proper filing of related financial documents, ensuring that all files are properly indexed with folio numbers and locked safely and ensure easy access and retrieval;
Prepare/assist with various periodic and donor financial reports, as required;
Assist with preparation of monthly financial forecasts;
Disburse and reconciliation of petty cash;
Prepare monthly bank reconciliation;
Submit tax remittances in a timely manner; and
Perfom other duties that may be assigned by the Team Leader and the Finance and Operations Manager from time to time.

SKILLS AND QUALIFICATIONS REQUIRED

Minimum of 3 years work experience in a busy account department;
Minimum of Bachelor’s Degree in Accounting from a recognised University or its equivalent;
Highly proficient in using standard accounting and bookkeeping software (ie. QuickBooks);
Ability to communicate in a diplomatic but clear and concise manner with project staff, and, if required, with project partners;
Ability to work under pressure with minimum supervision;
Ability to deal with challenging and sometimes stressful situations, while maintaining a professional and solutions oriented attitude;
Team player, highly disciplined, discrete and trustworthy.

 The One Community is a 5-year USAID-funded project focused on building HIV-competent communities, families, and individuals. One Community will empower priority populations with the knowledge, efficacy, and skills to effectively utilize HIV and social services, while at the same time strengthening community HIV support and prevention responses. This multi-level approach will create positive aspirations and future opportunities for those most affected by HIV The overall outcome will be reduced incidence of new infections and improved clinical, social and economic outcomes among orphans and vulnerable children, adolescents living with HIV, people living with HIV, and other vulnerable populations in communities served by priority treatment sites in the eight project districts.

Position : District Administrative/Program Assistant

Reports To : Operations Manager

Location : Blantyre; Chikwawa; Mulanje; Phalombe; Zomba; Machinga and Mangochi.

Duties and responsibilities

Provide administrative and logistical support to the Team Leader and Technical staff in the coordination, implementation and monitoring of One Community activities according to the work plan.
Provide administrative and logistical support to district meetings, trainings and workshops.
Responsible for recording and disseminating program meeting minutes.
Maintain the office in working order, coordinating the procurement of supplies and stationery,
Coordinating maintenance of computers and other equipment as needed, and ensuring that the office is comfortable for staff.
Answer district office telephone and direct calls.
Receive guests at the district office and direct them to staff as needed.

Coordinate district-level contracts and payments for local program activities and local travel.

Ensure that CCP, JHU, and donor policies are on file and available for staff

Take charge of office security, ensuring the safety of project property and staff
Serve as backstopping officer when the Team Leader has travelled.

Qualifications

At least 2-3 years’ experience fulfilling similar duties in an office environment.
Advanced Diploma in Business Administration or any related field.
A general understanding of the way in which health and HIV and AIDS services are implemented at the facility and community levels is an added advantage.

Knowledge, skills and abilities

Ability to plan, organize, and multi-tasks to meet deadlines within a flexible, fast-paced environment with competing demands.
Demonstrated ability to coordinate activities for complex projects having multiple activities and involving a variety of stakeholders.
Able to read, write, and speak English and Chichewa.
